How do I get started with Pipevale?

Sign up at pipevale.com — your account and first workspace are created automatically. After that a checklist on the dashboard walks you through setting up folder structure, adding your first record, inviting the team and importing data.

Do I need a credit card to sign up?

Accepted Answer

No. Signing up and the 14-day trial on the Business plan are completely free — no card required. You only add a card if you decide to move to a paid plan when the trial ends.

What is a workspace and how do I set it up?

Accepted Answer

A workspace is an isolated environment for your company or team. On sign-up Pipevale creates one and fills it with a starting set: system folders (Contacts, Companies), a sales pipeline and example records. You can rename folders, add your own fields and invite colleagues right away.

How do I invite colleagues?

Go to Settings → Team and click “Invite member”. Enter their email, pick a role (Admin, Manager, Viewer or a custom role) and Pipevale sends the invitation by email. Once accepted, they get access to the workspace.

How do I import data from another CRM or from Excel?

Pipevale imports CSV from any CRM, and ships mapping presets for HubSpot, Pipedrive, Salesforce, Zoho, NetHunt, KeyCRM, OneBox, amoCRM, Bitrix24 and 1C. Open the folder → “Import CSV”, upload the file, match columns to fields and review the preview before importing.

Is there a demo account?

Yes. The sign-in page has an “Open demo workspace” button that lets you in without registering. The demo contains sample contacts, deals, tasks and automations, and resets to its original state every night.

What field types does Pipevale support?

Twelve types: text, number, date, select (single and multi), email, phone, currency, checkbox, URL, formula (arithmetic over numeric fields), rollup (statistics across linked records) and hidden fields. Each field can be made required, validated, and shown or hidden per role.

Does Pipevale have workflow automation?

Accepted Answer

Yes. There is a visual automation builder on a canvas where you assemble a scenario from nodes: triggers (record created, record updated, stage changed, field changed, incoming webhook), conditions and branching, delays, and actions (create task, set stage, assign owner, add comment, call an API, send a webhook, update a linked record, generate a PDF). Scenarios can be duplicated and switched on or off.

Is there a mobile app?

Not yet. Pipevale is a responsive web app optimised for mobile browsers: a burger menu on phones, card layout instead of wide tables, touch-friendly controls. Native iOS and Android apps are planned but do not exist today.

How does the messenger inbox work?

Accepted Answer

One inbox for every channel — Telegram, Viber, WhatsApp, Instagram Direct and Facebook Messenger. Incoming messages land in a two-pane view (conversation list plus the thread) where a manager can reply, link the conversation to a record, or create a new contact on the spot. Attachments (photos, files) are supported. You can also enable AI auto-reply using your own OpenAI or Anthropic key.

How do documents work — invoices, acts, contracts?

Documents are built in, with no external service to connect. You can issue invoices (with VAT at 20/14/7/0%), produce acts and delivery notes, and draft contracts from templates. An invoice can be issued straight from a deal, and an act from an invoice. Print or save as PDF from the browser. Your logo and signature stamp can be uploaded and printed on the form.

How do I set up permissions?

There are four built-in roles — Owner, Admin, Manager and Viewer — and you can create custom roles with an exact permission set under Settings → Roles. Access can also be restricted per folder and per field (hidden or read-only for a given role).

Is there an API?

Yes. A public REST API with CRUD endpoints for records, deals, tasks and pipelines (/api/v1/…). Authentication is by API key with read/write scopes. Outgoing webhooks (event subscriptions with an HMAC signature) and incoming webhooks (as automation triggers) are supported too. Documentation and examples are on the developers page.

What plans are available?

Free (basic features, no payment), Basic, Business, Business Plus and Custom on request. Limits on folders, automations, roles and API keys are set out on the pricing page. There is also a startup discount for young companies.

What does the 14-day trial include?

On sign-up Pipevale activates a 14-day trial on the Business plan — every feature, no limits, no card. When it ends the workspace moves to Free and all your data stays. You can move to a paid plan at any point under Settings → Plan and billing.

How do I pay?

Accepted Answer

Payments go through WayForPay. On the Plan and billing page choose a plan and click “Subscribe” — you are taken to the provider’s secure payment page. Visa and Mastercard are supported, along with recurring charges for automatic renewal.

Is there a discount for paying annually?

Yes. An annual subscription costs the same as ten months — two months free. The Monthly / Yearly switch is on the Plan and billing page, and the system works out the remaining balance when you switch.

What happens to my data when a subscription ends?

It stays. When a subscription ends the workspace moves to the Free plan with its limits — you keep your data, and new records and automations are bounded by the Free limits. Renew at any time and everything is restored immediately.

How do I delete my account and data?

Accepted Answer

Settings → Data and privacy has a “Danger zone” that deletes the workspace and all associated data, as required by GDPR. The action is irreversible and the system asks for confirmation first.

Which messengers are supported?

Telegram (Bot API), Viber (Bot API), WhatsApp (Meta Cloud API), Instagram Direct and Facebook Messenger. Each channel connects with your own token (bring your own token) under Settings → Integrations — no hidden platform credentials from us.

How do I connect a Telegram bot?

Open @BotFather in Telegram, create a bot with /newbot and copy the token. In Pipevale go to Settings → Integrations → Telegram, paste the token and save. The webhook is registered automatically and the bot starts delivering messages into the inbox straight away.

How does the Gmail connection work?

Accepted Answer

Go to Settings → Integrations → Gmail and click “Connect Gmail”. After Google OAuth we store the tokens encrypted. Important: email is send-only — you write to a client from their record and the message goes out from your address. We do not read your inbox and do not pull incoming mail into records: that would require access to your whole mailbox, and we deliberately do not request it.

How do I integrate Pipevale with other systems?

Three ways, and they work together: the REST API (bearer token, /api/v1/* endpoints) for reading and writing data from outside; outgoing webhooks (subscriptions to events such as record.created or deal.stage_changed, signed with HMAC); and incoming webhooks (an external system POSTs to a unique URL and starts an automation). Zapier, Make and ApiX-Drive work through these same mechanisms — step-by-step instructions are in the developer docs.

Is there a Nova Poshta integration?

Yes — this one is Ukraine-specific. Connect your own Nova Poshta API key under Settings → Integrations, and a record gains parcel tracking by waybill number plus the ability to create a new waybill straight from the record (after a one-off sender profile setup).

Can I use my own SMTP for bulk email?

Accepted Answer

Yes. Under Settings → Email (SMTP) enter your server details (host, port, username, password) and click “Test connection”. Once it passes, campaigns are sent through your SMTP instead of Gmail — a higher daily limit and better deliverability.

Where is my data stored?

Within the EU, and backed up regularly. Each workspace's data is strictly isolated from every other — reaching another customer's data is not technically possible.

Are integration tokens encrypted?

Yes. All confidential data — messenger and mail tokens, SMTP passwords, keys — is stored encrypted and never sent to the browser in the clear.

Is two-factor authentication supported?

Yes. TOTP-based 2FA is available under Settings → Security and works with any authenticator: Google Authenticator, Authy, 1Password and others. Turning it on also generates eight recovery codes in case you lose the device.

How does access control work?

Pipevale uses role-based access control: every action checks the current user's permissions from their role, built-in or custom. Beyond roles there is folder-level access and field-level control (hidden or read-only per role). Every change is written to an audit log under Settings → Audit.

How do I view the audit log?

Workspace administrators open Settings → Audit, which lists every create, change and delete with filters by entity, action, user and date. It answers who changed what, and when.

How does Pipevale help with GDPR?

Accepted Answer

Settings → Data and privacy provides a full export of workspace data and irreversible deletion of everything. Bulk email campaigns include an unsubscribe mechanism that marks the recipient opted out automatically. Our processor obligations are set out in the Data Processing Agreement.

What if I forget my password?

On the sign-in page click “Forgot password?” and we email you a reset link. If you use 2FA and have lost access to your authenticator, use one of the recovery codes you saved when enabling it.

Can one account belong to several workspaces?

Yes. One email can have access to several workspaces, as owner or as an invited member. The workspace switcher is at the top left of the sidebar. Each workspace is fully isolated from the others.

All modern browsers — Chrome, Firefox, Safari and Edge (the last two versions). On mobile, Safari on iOS and Chrome on Android.

No direct limit on records. Some plans limit the number of folders, automations or API keys — the details are on the pricing page.

How do I link records to each other?

A record has a “Linked records” section. Click “+ Add link”, choose a folder and a record — the link is two-way and appears on both cards. Rollup fields then let you compute statistics (sum, count) across linked records automatically.

Ukrainian and English, switchable inside the app; your data is unaffected by the choice. Support is available in both. Other languages are not available yet.
